Position Purpose and Objectives

The Patient Care Coordinator (PCC) plays a vital role in clinic efficiency and improving patient care. Key responsibilities include patient reception, appointment scheduling, managing medical records and billing, and conducting optometric testing. This role also involves overseeing communication between departments and triage. This position is for our Fort Macleod Office. The successful candidate will train for 3 months in the Lethbridge location.

This is an entry-level position, and on-the-job training will be provided. Your primary responsibilities will encompass, but not limited to:

  • Opening and closing the clinic
  • Greeting and guiding patients and visitors to the clinic
  • Maintaining electronic medical records (EMR) in Visual Eyes
  • Verifying and processing third-party insurance, cash, and point-of-sale payments
  • Managing incoming telephone calls and responding or redirecting as required
  • Handling all appointment bookings
  • Triage emergency calls during operating hours
  • Carrying out diagnostic testing including, but not limited to, auto-refraction, measuring ocular pressure, and capturing ocular scans according to defined quality control measures
  • Engaging patients and explaining procedures during diagnostic testing
  • Sanitizing pre-test and exam lanes
  • Instructing patients on contact lens insertion and removal
  • Assisting in inventory control of contact lens trials
  • Dispensing glasses and contact lenses.

Required Qualifications

  • High School Diploma or equivalent
  • Proficiency in Windows-based software and Microsoft applications
  • Exceptional time management, attention to detail, communication, and priority-setting skills with the ability to handle challenging situations tactfully and diplomatically.

Preferred Qualifications

  • Familiarity with an electronic records management system
  • Previous experience in a medical/health care office

Working Environment

Optical Studio has two locations: #10-2810 Fairway St S Lethbridge and 2417 6th Ave Fort Macleod. The Lethbridge clinic is open Monday, Wednesday, and Friday, 9:00 am – 5:30 pm, Tuesday and Thursday, 9:00 am – 8:00 pm, and Saturday, 9:00 am – 2:00 pm. The Fort Macleod Clinic is open Monday – Friday, 8:30 am – 5:00 pm. Hours are subject to change, and employees are expected to accept work assignments within the timeframes at each location when the clinic is operating. The specific duties of the position may be adjusted based on clinic needs.

Job Type: Full-time up to 40 hours per week.

Pay: The starting pay range is $17.00 - $20.00 per hour, and the wage will correspond with experience and education.
